How to Connect Practice Better and GoHighLevel (Without Copying Clients by Hand)

You've got GoHighLevel bringing in leads and Practice Better running your client care, and somewhere in the middle there's you, copying names and emails from one to the other. Someone buys on your funnel and you have to remember to add them to Practice Better. Someone books a session and your GoHighLevel follow-up has no idea. It works, until the day you forget, so let's fix that.

The quick answer

You connect Practice Better and GoHighLevel through Zapier. In Zapier, GoHighLevel shows up as LeadConnector, and Practice Better has its own app. Practice Better can trigger a Zap when a new client is added, a booking or package is confirmed, a booking is updated or canceled, or a client enrolls in a program. Zapier can also add a new client into Practice Better when something happens in another tool. That means contact details can move between the two automatically, while your client health information stays inside Practice Better.

What you'll need

You'll need an active Practice Better account, your GoHighLevel account or sub-account, and a Zapier account. Your Practice Better plan needs access to integrations, and multi-step Zaps may need a paid Zapier plan, so check both before you start.

Step 1: Get your Practice Better API key

In Practice Better, go to Settings, then Integrations. Scroll to Workflow Automations and click Link next to Zapier. This gives you the API key you'll paste into Zapier to connect your account.

Practice Better will remind you that linking Zapier sends client contact information outside of Practice Better, so let your clients know how their information is used before you turn it on.

Step 2: Connect GoHighLevel in Zapier

In Zapier, search for LeadConnector, which is GoHighLevel's app, and connect the sub-account you want to use. Once both apps are connected, you're ready to build.

Step 3: Build your first Zap from GoHighLevel to Practice Better

This is the one I'd build first. When someone buys or is marked as a new client in GoHighLevel, Zapier adds them to Practice Better as a client, and you can choose to invite them to the client portal right away. From there, your Practice Better onboarding automations take over and send their forms.

Practice Better skips the Zap if a client with that email already exists, or if you've hit your plan's client limit.

Step 4: Build your first Zap from Practice Better to GoHighLevel

Now go the other direction. When a booking or package is confirmed or a client enrolls in a program in Practice Better, Zapier finds or creates the contact in GoHighLevel and adds a tag. That tag can start a GoHighLevel workflow, like moving them in your pipeline, stopping your sales emails, or sending a review request later.

You can add a SKU to specific services, packages, or programs in Practice Better and use it to control which ones trigger the Zap. Leave it blank and everything triggers.

Step 5: Test everything

Run a test with your own email address in both directions. Check that the contact lands in the right place, the right tag is added, and the right automation starts. Zaps triggered from Practice Better won't show in your client's activity log in Practice Better, so use your Zap history in Zapier to see what ran.

Keep health information in Practice Better

The Zapier connection is a way to move contact details like name, email, and phone, not health information. Practice Better itself notes that its Zapier integration isn't a HIPAA-compliant option for protected health information. I keep intake answers, charting, protocols, and anything health related inside Practice Better, and only let contact details and tags flow to GoHighLevel.
